If leaders don’t take it seriously, no one else will. You need to ensure the policy is integrated into strategic planning and performance metrics.
  • Practitioners (‘The AI Person’, Team Members): You’re on the front lines. Your role is to understand and apply the policy in your daily work. This means actively seeking guidance when unsure, reporting potential risks or policy breaches, and providing feedback on what works and what doesn’t. You’re the eyes and ears, and your practical insights are invaluable for policy refinement.
  • IT/Security Teams: You’re the technical enforcers and guardians. This involves implementing technical controls (e.g., blocking unapproved AI tools, setting up secure environments), monitoring for suspicious activity, providing secure infrastructure for approved AI solutions, and offering technical support for compliant AI usage. You’re also crucial in evaluating new tools against policy requirements.
  • Legal & Compliance: The interpreters and auditors. Ensuring the policy aligns with evolving regulations, reviewing new use cases for compliance, and conducting regular audits to verify adherence.

Crucially, these roles aren’t silos. They need to communicate constantly, creating a feedback loop that allows the policy to adapt to real-world challenges and opportunities.

Embedding policy into workflow: making it seamless
